How to block time from your outside calendar

Got a meeting that lives outside Knowhere, an internal sync, a dinner, a flight? Forward the invite and Knowhere blocks that time on your availability, so nothing gets booked on top of it. Available to everyone.

  1. Open your profile menu at the bottom of the left sidebar, go to Settings, then the Account tab, and find Email Forwarding.
  2. Copy the forwarding address, add@cal.goknowhere.com (there’s a Copy button next to it).
  3. In your email, open the outside meeting invite and forward it to that address.
  4. What appears on your Knowhere schedule depends on the invite:
    • Falls inside exactly one of your events? It appears on that event’s schedule as a read-only imported meeting, visible to everyone planning around you.
    • Anything else? The time is blocked as an External busy block right away, so conflict detection treats you as busy, and an invite Knowhere couldn’t place waits in Imports to review on the Hub for a manager to assign or discard.
  • Forward an updated invite and the block updates to match.
  • Forward a cancellation and the block goes away.
  • Each forward blocks a single occurrence, so for a recurring series, forward the specific dates that matter.
  • To remove a block yourself, open it on your Today timeline and delete it.

An external block is private busy time. It shows on your own timeline with an External tag, but it never appears as a meeting on the event schedule and carries no details. More in Conflict detection & availability.
