How to add a Space
A Space is a place meetings happen, a booth room, a rented suite, or a virtual room. Add them during event setup or any time afterward. Manager task.
- In the left sidebar, open your event and click the Spaces tab.
- Click the Space button in the top-right. The Add Space panel slides in.
- Enter a Space Name (required). A name containing “Travel” or “Offsite/External” auto-picks a matching color.
- Optionally add:
- Capacity, the number of people the room holds. Knowhere warns you if a meeting exceeds it.
- Location, the full street address. It’s included in calendar invites for map directions.
- Location Details, like “Suite 3200” or “Acme Booth, Show Floor”.
- Color, used on the schedule grid. Knowhere picks the next unused one for you.
- For one big room that legitimately hosts several conversations at once (an open booth floor, a shared demo area), turn on Allow concurrent meetings. Overlapping meetings there stop being flagged as conflicts and capacity isn’t enforced, but a person double-booked across them still is.
- To let visitors book demos here, turn on Bookable demo station and fill in Demo topic, an optional Demo description, and a Slot length. See Set up a demo station for the full flow.
- Click Add Space.
What’s next
Section titled “What’s next”The Space appears on your Schedule and becomes selectable when you create a meeting. To edit or remove it, click its row on the Spaces tab.
Changing a Space’s location later? If any upcoming meetings are already booked there, Knowhere asks whether to resend updated calendar invites to those meetings’ attendees, so their invite’s map/address stays correct. You can skip the resend if you’d rather notify people yourself.
