Post-meeting Recap

Notes are only as good as the rep who remembers to write them. The Recap turns post-meeting capture into a short questionnaire your company defines, so every meeting ends with the same few questions answered instead of a blank notes box. Answers flow straight into the meeting’s notes and the AI-written Debrief, and a nudge email chases the meetings still missing notes.

Managers write a short list of questions once. After each meeting, the attendees answer them right on the meeting. Submitted answers post into the meeting’s regular notes feed, feed the Debrief, and roll up into a per-meeting “who has contributed notes” indicator, so a manager can see capture coverage across the whole event at a glance.

  • Managers define the questions, set the nudge, and watch coverage.
  • Team members answer the Recap on their own meetings and get the nudge email when a meeting of theirs still has no notes at all.
  • Your customers are never involved. The Recap is internal, customers never see the questions and never receive a nudge.

Who: Managers, in Settings → Company → Defaults, on the Recap questions card.

Build the default template your events start from:

  • Type into Add a question and click Add.
  • Edit a question’s wording inline at any time.
  • Drag a question by its handle to reorder.
  • Delete a question with its trash icon.

Changes save as you make them, there is no Save button. New events copy this template when they’re created, so editing it later shapes your next event, never one that already exists.

Who: Managers, on an event’s Configure → Recap tab.

Each event gets its own copy of the questions, editable with the same builder. Ask different questions at a user conference than at a trade show without touching the company default. The Recap tab also holds two companion tools:

  • Generate All Debriefs: one click generates the AI Debrief for every meeting in the event that has notes but no Debrief yet, showing progress as it runs. Meetings that already have one are skipped.
  • Missing-notes nudge: turn it on, pick a Send on date (usually the day after the show), and choose Everyone invited or Checked-in only. On that date, each team member with meetings still missing notes gets one email listing them. One email per person per event, never a drip.

Who: The meeting’s team attendees, managers and team members alike.

Open a meeting from your meetings list and the Recap section appears at the bottom of the meeting panel, once the meeting has ended or its check-in is complete. Type your answers, they autosave as you go, with a status chip showing Saving…, Saved, or Complete. When you’ve answered everything, hit Submit to publish your answers into the meeting’s notes as a single Recap note. Submitting again after an edit updates that same note rather than adding a duplicate.

Answers are per person, so two attendees at the same meeting each file their own Recap.

  • Notes: a submitted Recap becomes a note in the meeting’s notes feed, timestamped and attributed like any other, visible everywhere notes appear, including the account’s history and its Brief.
  • The Debrief: a submitted Recap lives in the meeting’s notes, so every Debrief, generated one meeting at a time or in bulk, includes it, and the structure you asked for shows up in the summary.
  • Coverage: meeting cards in the event’s meetings list show how many attendees have contributed notes (for example, 2/3 notes). Managers see coverage across the team; team members see their own status.
  • Wrap-up: the missing-notes nudge and the event’s wrap-up checklist work the same list from both ends, so nothing learned at the show evaporates on the flight home.

Recap vs. notes: notes are free-form, the Recap is your company’s fixed questions. You can use either or both, and a submitted Recap counts as notes for coverage, nudges, and Debriefs.
